The Context
Give every registration a clear status.
The organiser needed participant details and payment proof in one place, with an explicit review step before an entry could be confirmed. Participants needed to know whether their submission had been received or approved.

The registration page, organiser backend and WhatsApp communication each have a clear role.

Register & upload
Participants submit their details, category and payment proof through the event website.

Acknowledge receipt
A WhatsApp acknowledgement confirms that the submission has been received. The entry is still awaiting review.

Review the submission
The organiser checks the record and payment proof in the admin backend, retaining control over approval.

Approve & assign a reference
Approved entries receive a participant number for confirmation and event management.

Send final confirmation
A separate WhatsApp update communicates the approved entry and participant details.
